Payroll Excel template for Saudi Arabia, with GOSI
This free payroll Excel template calculates each employee’s gross pay, absence deduction, GOSI share and net pay, and the employer’s GOSI cost, for up to 50 employees. It handles Saudis on the earlier and new GOSI law and non-Saudis, caps the contributory wage at 45,000 SAR, and keeps every rate on an editable Settings sheet.
What is in the file
Three sheets:
- Payroll: one row per employee, up to 50. You fill in the yellow cells: name, ID or iqama number, nationality, GOSI law, basic, housing, transport, other allowances, overtime pay, unpaid days and other deductions. Gross pay, the absence deduction, the contributory wage, GOSI for the employee and employer, and net pay are calculated, with totals.
- Settings: the GOSI rates, the contributory-wage minimum and maximum, and the number of days used for a day’s pay (30). Change them here, not in the formulas.
- How to use: the notes below, inside the file.
How the calculations work
| Column | Formula |
|---|---|
| Gross pay | Basic + housing + transport + other allowances + overtime pay |
| Absence deduction | (Basic + housing + transport + other allowances) ÷ 30 × unpaid days |
| Contributory wage | Basic + housing, held between 1,500 and 45,000 SAR (both on the Settings sheet; confirm the minimum that applies on gosi.gov.sa) |
| GOSI (employee) | Contributory wage × the employee rate for Saudis; zero for non-Saudis |
| Net pay | Gross pay − absence deduction − GOSI (employee) − other deductions |
| GOSI (employer) | Contributory wage × the employer rate for the nationality and law |
Example. A Saudi employee on the earlier law with basic 8,000, housing 2,000 and transport 800 SAR, and one unpaid day: gross 10,800; absence deduction 360; contributory wage 10,000; GOSI 975; net pay 9,465 SAR; employer GOSI 1,175 SAR.
Before you rely on it
- Check each employee’s GOSI law (earlier or new) with GOSI; it depends on their registration history.
- If your contracts calculate a day’s pay differently, change the absence formula or the days on the Settings sheet.
- Keep the figures equal to the contract documented in Qiwa and the wage registered with GOSI, or the Mudad wage file will not match.
When the sheet becomes hard to keep up, RafiqHR runs the same calculation every month from each employee’s record, explains every line on the payslip, and exports the Mudad wage file.
Frequently asked questions
Which GOSI rates does the template use?
Saudis on the earlier law: 9.75% from the employee and 11.75% from the employer. Saudis on the new law (no contributions before 3 July 2024): 10.75% and 12.75% from July 2026. Non-Saudis: 2% from the employer only. All are calculated on basic plus housing, with a minimum of 1,500 SAR and a maximum of 45,000 SAR.
What do I do when the GOSI rates change?
Change the rates on the Settings sheet; every formula reads them from there. The new-law annuity rate rises by half a point for each side every July until 2028.
Can I upload this file to Mudad?
No. Mudad has its own wage file format. This sheet helps you calculate the month’s payroll; a payroll system can produce the Mudad file for you.
